Every Document You Need for a SAPS Firearm Licence Application

Print this checklist. Tick them off. Don't get sent home.

Missing one document means another trip to the police station. Another queue. Another wasted morning. We've seen it happen to thousands of applicants on TrackMyApp - someone submits an application, gets sent home for a missing form, and loses weeks in the process.

Use this checklist. Print it if you need to. Go through every item before you head to the DFO. If everything is ticked, you're ready.

The Complete Checklist

These are the standard documents required for a Section 13 (self-defence) firearm licence application. Additional requirements for Section 15 and 16 are listed below.

  1. 1. SAPS 271 - Application for a Licence
  2. 2. Motivation Letter - The most important document. Number one reason for refusals.
  3. 3. Two Character References / Testimonials - From non-family members who have known you 2+ years
  4. 4. Competency Certificate - Must be for the correct category (handgun, rifle, shotgun)
  5. 5. Training Certificate - From your accredited training provider
  6. 6. Certified Copy of Your ID - Not older than 3 months
  7. 7. Proof of Residence - Not older than 3 months
  8. 8. Two Passport-Size Photographs - Colour, neutral background
  9. 9. SAPS 523 - Dealer declaration form from your firearm dealer
  10. 10. SAPS 541 - Safe storage declaration
  11. 11. Safe Invoice or Receipt - Proof of firearm safe purchase

Missing even one document means another trip to the police station. A weak motivation letter means a refusal after months of waiting.

Frequently Asked Questions

What documents do I need for a firearm licence?

The complete list: SAPS 271 form, motivation letter, two character references, competency certificate, training certificate, certified ID copy (not older than 3 months), proof of residence (not older than 3 months), two passport photos, SAPS 523 dealer declaration, SAPS 541 safe storage form, and safe invoice/receipt.

Where do I get the SAPS 271 form?

From the Designated Firearms Officer (DFO) at your local police station. Some firearm dealers and training providers also keep copies. Ask for the latest version to make sure you have the current form.

How recent must my certified ID copy be?

Not older than 3 months from your submission date. Get it certified close to when you plan to submit. Any police station's Commissioner of Oaths can certify it for free.

Who can write a character reference?

Any person who has known you for at least 2 years and is not a family member. Colleagues, neighbours, religious leaders, community members, and professional contacts are all suitable. They should include their full name, ID number, contact details, and a statement about your character and suitability to own a firearm.

What if I bought my safe second-hand?

A receipt or proof of transfer from the previous owner is acceptable. The key thing is proving you own the safe. If there's no receipt, an affidavit from the seller and photos of the safe with its SABS markings visible can help.
